Trying to coordinate a meeting with multiple attendees can be a hassle. Luckily, there are two tools available to Microsoft 365 users which make it easier to lock down a time, FindTime and Bookings.
FindTime
FindTime is an amazing tool which allows you to propose multiple times to attendees in the form of a poll. Once an option reaches consensus it is locked in and all attendees are sent a calendar invite. It’s that simple!
I recommend installing the FindTime add-in to Outlook. Click the Get Add-Ins button and enter “FindTime”.
You can now reply to an email with a FindTime poll, or insert a poll into a new message! There are many helpful settings to choose from, including adding placeholders to your calendar so you don’t double-book yourself, and allowing attendees to suggest new times.
You can veiw all open meeting polls and make changes at outlook.office.com/findtime.
Bookings
Bookings is similar, but different. Bookings allows you to provide access to your calendar for preconfigured meeting types at time windows specified by the Bookings page owner. My booking page looks like this:
I have added a link to my booking page onto my email signature to ensure that my contacts can easily get a hold of me for important discussions.
Setting up Bookings is a lot more straightforward than FindTime. Just head on over to bookings.office.com and login with your Microsoft account details. Press the + button to add a new meeting option, and specify the available windows of time which your contacts can choose from.
